The Lowest-Cost Computerized Time Clock

The computerized time clock incorporates any combination of data entry keypad or card swipe with an on-board computer that stores timekeeping data until it is polled by a central computer.  This system has been in use for about three decades, and is a proven, reliable approach to timekeeping -- but at a price. The cost of a computerized time clock has dropped from $2,000 to anywhere in the range of $500 to $1,200, but is still expensive for those companies looking to install many units throughout their facilities.

A less expensive approach is to acquire either a slot reader (used for scanning employee numbers on bar coded employee badges) or a swipe reader (for magnetic stripe cards), and hook it up to an old personal computer.  Either type of reader costs about $120, contains an LED that indicates a successful scan, and can be easily attached to a computer either through its keyboard or a USB port.  No programming or software drivers are needed. Readers are available from many suppliers, including ID Tech, Unitech, and Hand Held Products.

The reader scans the information on the employee badge being used to identify an employee and enters this information into the timekeeping software contained on the computer (of which there are many products available, such as iEmployee's Time and Attendance or Paychex's Time in a Box).

This solution is highly cost-effective over the short term, but may require more on-going maintenance if the PC's used for data collection are especially decrepit, and therefore require periodic maintenance.  Consequently, be sure to calculate the lifetime cost of this solution before ditching those computerized time clocks!
